In short

We will never sell your data. Ever. We don't use browser-based tracking or analytics scripts, and we won't spam you with newsletters you won't read anyway.

The only emails you'll get from us are "new match" notifications and essential account-related notifications.

We take data security incredibly seriously and do everything we can to protect your information. However, as with any online service - especially AI-based ones - you should be mindful of what you share. Don't include confidential, or sensitive personal information in your interactions with our AI.

Who We Are

Poly is operated by Realtime Technologies Ltd, a company registered in the United Kingdom. We are committed to protecting your privacy and complying with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Information Collection

When you chat with Poly, your conversations are processed by a mixture of models from Anthropic, OpenAI, and other AI providers. For quality assurance, security monitoring, and debugging purposes, chat conversations are stored for security and monitoring. You can request deletion of all your personal data at any time by clicking your user avatar then clicking "Delete Account".

When you're signed in, we maintain a summary of your chats and profile information to provide a better user experience and prevent you from having to enter information repeatedly.

While we use AI to understand you better, we recognize the difference between 'you' and your data. We encourage authentic sharing while being mindful of sensitive information - focus on your aspirations and energy rather than personal details.

Our database is hosted on AWS in London, UK. We only use AI services hosted in the US or Europe.

How We Use Your Information

  • To improve our matching algorithms and service quality
  • To process payments for credits and subscriptions via our payment processor
  • To communicate with you about potential opportunities and matches
  • To enable connections between users for job opportunities and services
  • To provide customer support and respond to your inquiries
  • To comply with legal obligations

Legal Basis for Processing

We process your personal data on the following legal bases:

  • Contract: Processing necessary for the performance of our contract with you when you use our services
  • Consent: Where you have given us consent to process your data for specific purposes
  • Legitimate Interests: Where processing is necessary for our legitimate interests, such as improving our services
  • Legal Obligation: Where we need to process your data to comply with a legal obligation

AI Processing & Your Data

Your interactions help train our matching algorithms to better understand energy patterns and personality dynamics. However, we strip all personally identifiable information before using chats for training.

All embeddings (vector representations of your profile and other data) are created in English, regardless of which language you use to communicate with Poly.

Data Storage and Security

When you choose to store your information with us, we ensure it is:

  • Encrypted during transmission
  • Accessible only to authorized personnel
  • Never sold to third parties
  • Stored in secure, industry-standard data centers (AWS in London)
  • Protected according to the principles of the UK GDPR

Data Retention

We retain your data as follows:

  • Your Profile will remain active until you choose to delete your account
  • If we send you matches and don't hear anything back within 60 days, we will pause matching and not send you any more emails, but your data remains stored
  • Unused credits expire after 60 days
  • Services expire after 30 days unless renewed
  • Vouchers expire after 90 days

Sharing Your Information

We may share certain information in the following circumstances:

  • With users you are matched with, according to your privacy settings
  • With service providers who help us operate our platform (payment processors, AI providers, hosting services)
  • If required by law or to protect our legal rights

We will never sell your data to third parties for marketing purposes.

Your Rights

Under the UK GDPR, you have the right to:

  • Access your personal information
  • Request correction of inaccurate data
  • Request deletion of your account and associated data
  • Object to processing in certain circumstances
  • Request restriction of processing
  • Request data portability
  • Opt-out of communications (although we will never spam you with newsletters)

International Transfers

While our database is hosted in the UK, some of our AI processing may involve transfers of data to the US or other European countries.
